Billancer / Privacy
Privacy Policy
Billancer is built to keep your work records useful, portable, and under your control. This policy explains what information Billancer handles, where it is stored, and why.

Who we are
Billancer is developed and operated by A Polymeneas, trading as KnG Development, an independent developer based in the Netherlands and the controller of personal information about you processed through Billancer Cloud and Billancer support. Information about your own clients that you add to Billancer is handled differently; see “Information about your clients” below. For privacy questions or requests, contact support@billancer.eu.
- Address: Goudenregenstraat 128, 1441 HG Purmerend, the Netherlands
- Dutch Chamber of Commerce (KvK): 89318935
- VAT: NL003815035B42
Your storage choice
Billancer can work with different storage providers. The information available to the Billancer operator depends on the option you use.
- Private iCloud storage: records kept solely in your private iCloud database are stored and synchronized through your Apple account. The Billancer operator does not ordinarily have access to the contents of that private database. Apple processes this information under its own terms and privacy policy.
- Billancer Cloud: when you sign in with an Invoices & Reports subscription, the app uploads a copy of your whole Billancer workspace, including clients, projects, time entries, notes, and activity signals, and keeps that copy up to date while you stay signed in. The copy is processed on systems operated for Billancer and is used to build the hosted reports and invoices in the Billancer web app, together with the invoices, templates, logos, and settings you create there. Signing out stops further uploads; deleting your account removes the copy.
- On-device data: some settings, cached records, and diagnostic information may remain on your device and are controlled through the app and your device settings.
Information we handle
Depending on the features you choose, Billancer may handle:
- Account information such as your name, email address, account identifier, and authentication data.
- Time entries, project and client names, notes, tags, rates, and other records you create.
- Activity signals from a Mac while a timer runs: when the Mac sleeps or wakes, when your login session becomes inactive or active, and when no keyboard or pointer input is detected for a while. Billancer records only the time and device, never what you typed, where you pointed, or which apps or windows you used. These signals are stored with your time entries in your private iCloud workspace and, if you use Invoices & Reports, in its hosted copy, so you can review possible pauses. They never change tracked time.
- Verified App Store transaction and subscription evidence needed to unlock paid features, reconnect a purchase, and prevent conflicting ownership claims. This can include Apple-issued transaction identifiers, an app account token, product and status information, and signed transaction or notification evidence, but not your complete payment-card details.
- Messages, contact details, and screenshots you choose to include in a support request or feedback message. Feedback submissions also include the IP address and available browser, user-agent, and language headers to help us troubleshoot issues.
- Aggregate website visit statistics, such as the page viewed, referring site, browser type, screen size, and approximate country, collected without cookies on billancer.eu.
- Basic device, app-version, log, security, and technical information needed to operate, protect, troubleshoot, and improve the service.
Billancer does not sell your personal information and does not use your work records for advertising or third-party profiling.
Information about your clients
Your records, invoices, and reports can contain personal information about your clients and their contacts, such as names, addresses, email addresses, and tax or registration numbers. You decide what to add and why, so you are the controller of that information. Billancer processes it on your behalf as your processor, under the data processing terms in our Terms of Service.
How and why we use information
We process information only where needed to:
- Provide the app, account, synchronization, storage, export, reports, and invoice features you request.
- Understand, in aggregate, which website pages are visited so we can keep the site useful.
- Display calculations, summaries, charts, rates, and estimated amounts based on your records.
- Verify subscriptions and manage access to paid features.
- Respond to support, privacy, security, and account-deletion requests.
- Protect Billancer, prevent abuse, diagnose failures, and maintain service reliability.
- Comply with legal obligations and establish, exercise, or defend legal claims.
The legal basis is normally performance of our agreement with you, compliance with legal obligations, or our legitimate interests in securing and improving Billancer. Where consent is required, such as for notifications, you may withdraw it through the relevant setting without affecting earlier lawful processing.
Service providers and Apple
Billancer may use carefully selected providers for hosting, database storage, email, authentication, error reporting, and other infrastructure. They may process information only on our instructions and for the service they provide, subject to appropriate confidentiality and security obligations. We do not share your data with third parties for their own advertising.
Support requests and feedback sent through the forms on billancer.eu are delivered to our internal Slack workspace, operated by Slack Technologies, so that we can read and answer them. Website visit statistics are counted by GoatCounter, a privacy-focused analytics service that does not use cookies or track you across other websites.
The Billancer apps collect no usage analytics. When an app or the Billancer Cloud server crashes or hits an error, a diagnostic report is sent to Sentry, operated by Functional Software, Inc. These reports contain technical details such as the app version, device model, operating system, and where in the code the error happened. They are not linked to your account.
Apple independently handles App Store purchases, subscription management, Apple ID services, and iCloud. Billancer may receive limited purchase or entitlement information from Apple, but not your complete payment-card details. Apple's processing is governed by Apple's own terms and privacy policy.
International transfers
Billancer Cloud runs on servers operated by Hetzner Online in Nuremberg, Germany. Backups are stored in Helsinki, Finland. Sentry stores crash and error reports in its EU region in Germany.
Support requests and feedback are stored by Slack in the United States. Slack and Sentry are operated by US companies, so information they handle can be accessed from or transferred to the United States. These transfers rely on the European Commission's standard contractual clauses and, where the provider is certified, the EU–US Data Privacy Framework. Contact us for a copy of the safeguards that apply.
Security and reliability
We use reasonable technical and organizational safeguards designed to protect information handled through Billancer Cloud. No storage or transmission system can be guaranteed completely secure or continuously available. Security also depends on your device, Apple ID, account credentials, network, and the third-party services you use.
Billancer cannot inspect or restore records that remain solely in your private iCloud database and are no longer available through Apple or your devices. For important business records, use Billancer's export features or keep another independent copy.
Retention and deletion
We keep personal information only for as long as needed for the purpose for which it was collected, to provide Billancer, meet legal obligations, resolve disputes, and protect the service:
- Account and hosted work records are kept while your account remains active and are deleted after a valid deletion request, except information we must retain by law. Backups are kept for 30 days, so deleted information leaves our backups within 30 days.
- Support requests and feedback messages are deleted 12 months after we receive them.
- Crash and error reports are deleted by Sentry after 30 days.
- Server logs are rotated automatically as new entries are written and are not archived.
Verified App Store purchase evidence is kept while it is linked to your Billancer account. Evidence that is not linked to an account, because you have not connected the purchase yet or you deleted your account, is deleted 12 months after the subscription it belongs to ends. Keeping this evidence does not create an account profile or hosted work content. It lets Billancer recognize a purchase if you choose to connect it later, keep subscription status current, prevent the same purchase from being connected to more than one account, and answer support or refund questions. This evidence is not presented as a customer-visible billing-history service.
You can request deletion of your Billancer account and associated hosted personal data through the app or via Support. Deletion removes the hosted identity, sessions, invoice and report content, and hosted copy of your workspace. It releases the purchase association so an eligible active or renewed purchase may be connected to a fresh account, and the verified App Store evidence described above is kept for the period stated there. Your private iCloud workspace is not deleted and remains under your control through Billancer, iCloud, and your Apple account or device settings.
Billancer is not an archive for your business records. Deletion permanently removes your issued invoices, reports, and templates, so save the PDFs of your issued invoices and any reports you need before deleting your account. You are responsible for keeping invoices for as long as tax or accounting rules require.
Deleting a Billancer account does not cancel an Apple subscription. Billing continues until you cancel the subscription through Apple. During deletion Billancer makes one best-effort attempt to revoke each stored Sign in with Apple authorization; if Apple cannot complete that attempt, the app explains how to remove Billancer manually from Sign in with Apple.
Your choices and rights
Depending on applicable law, you may access, correct, export, or request deletion of personal information associated with your account. You may also object to or restrict certain processing, withdraw consent where processing relies on consent, and request a portable copy of eligible data.
Contact us at support@billancer.eu and include enough detail for us to identify and verify your request. You also have the right to complain to the Dutch Data Protection Authority or the supervisory authority in the country where you live or work.
Changes to this policy
We may update this policy as Billancer develops or its data practices change. For material changes, we will provide reasonable notice through the app, website, or account email where appropriate. The date shown on this page indicates when the policy was last updated.
