Billancer / Agreement
Terms of Service
These simple terms describe the ground rules for using Billancer.
Last updated: October 16, 2026
The service
Billancer is a productivity tool for recording time, organizing work, and preparing summaries or estimates from the information you enter. It is provided by A Polymeneas, trading as KnG Development (Dutch Chamber of Commerce 89318935, VAT NL003815035B42), Goudenregenstraat 128, 1441 HG Purmerend, the Netherlands. Billancer is not accounting, tax, legal, payroll, or financial-advice software, and it does not submit invoices, time records, or reports to your clients on your behalf.
By using Billancer, you agree to these terms and to use the service lawfully and responsibly.
Your account and records
You are responsible for keeping your account credentials and devices secure and for activity performed through your account. You retain ownership of the time entries, project information, notes, rates, and other content you create.
A normal Invoices & Reports account is created only after an eligible subscription is purchased or restored in a Billancer Apple app and you connect it using Sign in with Apple. Signing in on the website never creates an account; it only opens an account that was already created through the app. Email and password access is reserved for existing administrator-provisioned accounts.
When you use Billancer Cloud or another hosted feature, you give Billancer and the service providers it uses the limited permission needed to receive, store, sync, back up, process, and display that content solely to provide the features you request. This permission ends when the content is deleted, except that deleted content can remain in backups for up to 30 days and information may be kept where the law requires it.
iCloud and Billancer Cloud
Billancer may let you keep and sync records through your personal iCloud account or, for eligible features, through Billancer Cloud. These are different storage services.
- Records kept solely in your private iCloud database are stored and synchronized by Apple. The Billancer operator does not ordinarily have access to the contents of that private database.
- When you sign in with an Invoices & Reports subscription, the app uploads a copy of your whole workspace to Billancer Cloud and keeps it up to date while you stay signed in. That copy is processed on systems operated for Billancer so that Invoices & Reports and related hosted features can work.
iCloud availability, synchronization, account access, and recovery depend on Apple, your Apple ID, your devices, network conditions, and Apple's services. Billancer cannot inspect, restore, or recover data that remains solely in a private iCloud database and is no longer available there.
Reviewing your records
Billancer calculates summaries, durations, charts, rates, and estimated amounts from the records and settings available to it. Before relying on, exporting, sharing, or using a result for billing, tax, payroll, or another business purpose, you should review it for completeness and accuracy. You remain responsible for deciding how recorded time and generated summaries are used.
Information about your clients
Your records, invoices, and reports may contain personal information about your clients and their contacts, such as names, addresses, email addresses, and tax or registration numbers. For that information you are the controller and Billancer is your processor. This section is the data processing agreement required by Article 28 of the EU General Data Protection Regulation. It covers that information for as long as Billancer Cloud holds it, and only for the purpose of providing the hosting, sync, reporting, and invoicing features you use. You confirm that you have a lawful basis to add the information and have given your clients any notice the law requires.
For that information, Billancer will:
- Process it only to provide the features you use and as you instruct through the app and web app, unless EU or Dutch law requires otherwise, in which case we will tell you first where the law allows it.
- Ensure that anyone authorized to access it is bound by confidentiality.
- Protect it with appropriate technical and organizational measures, including encrypted connections, restricted access, and backups.
- Use only the service providers named in the Privacy Policy, under written terms that protect the information at least as well as this section, and tell you through the website or account email before adding or replacing one, so you can object or stop using the service.
- Help you, as far as reasonably possible, answer requests from people exercising their data protection rights and meet your obligations on security, breach notification, and data protection impact assessments.
- Notify you without undue delay after becoming aware of a personal data breach affecting it.
- Delete it when you delete it or your account, with backup copies expiring within 30 days, unless the law requires us to keep it. Before deleting, you can export your records and save the PDFs of your invoices and reports.
- Make available the information needed to show compliance with this section and allow for and contribute to audits, including inspections, by you or an auditor you appoint, on reasonable notice and at your own cost where the information we provide is not enough.
Acceptable use
You may not use Billancer to:
- Break the law, infringe another person's rights, or misrepresent your identity.
- Probe, disrupt, overload, or attempt to gain unauthorized access to the service.
- Upload malicious code or content that could harm the service or other users.
Reporting content and account decisions
Content in Billancer Cloud is private to your account. Billancer does not publish it, does not review it routinely, and does not use automated tools to moderate it.
If you believe content stored in Billancer Cloud is illegal, email support@billancer.eu with where the content is, why you believe it is illegal, your name and email address, and a statement that your report is made in good faith. A person reviews every report.
If we remove content or suspend or end access because of illegal content or a breach of these terms, we will tell you what we did and why, unless the law prevents it. You can challenge the decision by replying to that message or writing to support@billancer.eu, and you can also go to court.
support@billancer.eu is also our point of contact for users and for authorities under the EU Digital Services Act. We handle messages in English and Dutch.
Availability, safeguards, and backups
We use reasonable technical and organizational measures designed to keep Billancer available and protect information handled by Billancer Cloud. Software, networks, devices, and third-party services can nevertheless fail or become unavailable, so uninterrupted access, error-free synchronization, and permanent preservation of every record cannot be guaranteed.
Keep exports or another independent copy of records that are important to your business. We may change, suspend, or discontinue a feature when reasonably necessary for security, maintenance, legal compliance, technical compatibility, or continued operation of the service.
Subscriptions and Apple
Purchases made through Apple are billed and managed by Apple under the terms shown in the App Store and your Apple account. Apple may handle payment processing, subscription management, cancellation, and eligible refunds. Apple does not operate Billancer and does not assume Billancer's obligations under these terms.
Billancer keeps verified transaction and subscription evidence while it is linked to your account. Evidence that is not linked to an account, including evidence from before you create an account or after you delete one, is deleted 12 months after the subscription it belongs to ends. Keeping this limited evidence does not itself create a hosted identity or hosted work content. It is used to reconnect eligible purchases, maintain entitlement status, and prevent one purchase from being claimed by multiple accounts.
Responsibility and liability
Nothing in these terms limits rights or remedies that cannot legally be limited, including applicable consumer rights, or liability caused intentionally or through gross negligence.
To the extent permitted by law, Billancer is responsible only for direct and reasonably foreseeable loss caused by a failure to meet its obligations. Billancer is not responsible for indirect or consequential loss, lost profits, lost revenue, missed billing opportunities, or loss caused by inaccurate user input, failure to review generated results, device failure, loss of account access, or interruption or malfunction of services controlled by Apple or another third party.
Where liability may lawfully be capped, Billancer's total liability for a claim is limited to the greater of the amount you paid for Billancer during the twelve months before the event giving rise to the claim or EUR 50. This cap does not apply where applicable law prohibits it.
Intellectual property
Billancer, its name, design, software, and original content belong to A Polymeneas or its licensors. These terms give you permission to use the service; they do not transfer ownership.
If you send ideas, suggestions, or other feedback, Billancer may use them freely without paying or crediting you. This gives Billancer no rights in your records or other content.
Ending your use
You may stop using Billancer at any time and request account deletion through the app or Support. Deleting your Billancer account does not cancel your Apple subscription; manage or cancel that subscription separately through Apple. Account deletion removes Billancer's hosted identity and content, releases its association with your purchase, and preserves your private iCloud workspace and the limited verified purchase evidence described above.
Billancer is not an archive for your business records. Deleting your account permanently removes your issued invoices, reports, and templates from Billancer. Before deleting your account, save the PDFs of your issued invoices and any reports you need. You are responsible for keeping invoices and other business records for as long as tax, accounting, or other laws require.
During deletion, Billancer makes one revocation attempt for stored Sign in with Apple authorization. Hosted deletion proceeds whether or not Apple responds. If revocation fails, Billancer provides instructions to remove Billancer manually from Sign in with Apple.
We may suspend or end access when reasonably necessary to protect the service, comply with law, prevent abuse, or address a serious breach of these terms. Where practical, we will give reasonable notice before ending a paid hosted service for reasons unrelated to misuse, security, or legal requirements.
Governing law
These terms are governed by Dutch law. If you use Billancer as a consumer, this choice does not take away mandatory protections you have under the law of your country of residence, and disputes may be brought before any court that has jurisdiction under applicable law. If you use Billancer for your business or profession, disputes will be decided exclusively by the competent court of the District Court of North Holland (Rechtbank Noord-Holland), the Netherlands.
Changes and contact
We may update these terms as Billancer evolves. For material changes, we will provide reasonable notice through the app, website, or account email where appropriate. The date at the top of this page indicates when the terms were last changed. Questions can be sent to support@billancer.eu.
